Privacy notice for the contact form

This notice explains what happens to the details you send through the "Book a conversation" form on yqup.com, and when you email us about an enquiry.

Who we are

YQUP LTD ("YQUP", "we") is the controller of your personal data. YQUP LTD is registered in England and Wales, company number 04811754. To contact us about your data, email amy@yqup.com (Tony Wood's office).

What we collect

  • What you type into the form: your name, work email, organisation, role, your question, how you would like us to contact you, and your phone number if you choose a call.
  • A one-way coded value made from your internet (IP) address, used only to stop spam and repeated sending. We do not store the address itself with your message.

Why we use it, and our lawful basis

We use your details to read your enquiry, reply to it and, if you want, arrange a conversation. Our lawful basis is legitimate interests (UK GDPR Article 6(1)(f)): replying to people who contact us about our work. You can object at any time (see Your rights).

We do not use form details for marketing and we do not add you to a mailing list. If you want the Chief Agentic Officer Briefing, you sign up for it separately.

Safety checks and AI tools

Each message is checked automatically for spam and harmful content before anyone reads it. A message that looks harmful is held for a person to look at. We may use AI assistants to help sort messages and draft replies, under our instructions. A person checks every reply before it is sent, and no decision with legal or similarly significant effects is made about you automatically.

Who sees it

Tony Wood and his office at YQUP. We do not sell your data. These service providers handle it for us, under contract and only on our instructions:

  • Hostinger: hosts the website server where your message is received and stored, and sends the notification email to our mailbox.
  • Google Workspace: our email. Your message is delivered to our mailbox and any reply is sent from it.
  • Matomo Cloud: website visit statistics. It runs without cookies and stores its data in the EU. It does not receive what you type into the form.

Where a provider handles data outside the UK, we rely on UK adequacy regulations or approved contract terms for the transfer.

How long we keep it

Up to 24 months from our last contact with you, then we delete it. If you become a client, the records of that work are kept under our client terms instead.

Your rights

You can ask to see the data we hold about you, have it corrected or deleted, restrict how we use it, or object to our using it. Email amy@yqup.com. We reply within one month.

If you are unhappy with how we handle your data, please tell us first. You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, telephone 0303 123 1113.
